Separate the normal path from the unusual one

Most teams know which requests happen every day and which ones need extra judgement. The problem begins when those two paths are mixed together without a clear way to tell them apart.

Describe the normal path first, then name the conditions that make a request different. This protects speed for ordinary work while giving exceptions the attention they need.

  • Name the person responsible

Give exceptions a visible place to go

An exception should not disappear into a private inbox or an unclear note. Route it to a named person or queue, with enough context for that person to decide what should happen.

  • State why the item is outside the normal path.
  • Name who can decide or approve the next step.
  • Record the outcome so similar cases can be recognised later.

Learn from repeated exceptions

If the same exception appears often, it may no longer be exceptional. Review recurring cases to see whether the normal process needs a clearer rule, field or option.
