Find the reason for the second entry

People may re-enter information because systems are disconnected, but they may also be correcting, approving or reshaping it. Those are different problems and should not share one automatic solution.

Observe what changes between the first and second entry before removing the step.

Define an authoritative source

For each important field, decide which system owns the current value and which systems only need a copy. Without that decision, an integration can create faster conflicts.

  • Name the source system for each shared field.
  • Identify who can correct the source value.
  • Separate approval from simple copying.
  • Define what happens when the destination rejects an update.

Remove one handoff at a time

Start with a stable, low-ambiguity transfer. Confirm that the receiving team still has the context it needs and that failures are visible.

Expanding only after the first handoff is reliable makes ownership and support easier to understand.
