How to test a new workflow before rolling it out
A practical method for testing a changed workflow with real examples before asking the wider team to rely on it.
Test a real example, not an ideal one
A workflow can look clear on a whiteboard and still fail when it meets an incomplete request, a changed customer instruction or a busy person. Use a recent, realistic example to test the steps.
Choose an item with enough detail to expose the normal handoffs without involving private or sensitive customer information unnecessarily.
- Name the person responsible
Include the people who do the work
The people who receive, check and complete the work will see practical gaps that are easy to miss in planning. Ask them to follow the proposed path and note where they pause or make assumptions.
- Can each person tell what happens next?
- Is the needed information available at the right time?
- Is there a clear path when something is different?
Adjust one problem at a time
Use the test to improve the workflow, not to redesign everything at once. Fix the most visible point of confusion, then run another example before expanding the change.
