What a reliable handoff between teams looks like
A plain-English guide to making work easier to transfer between teams without relying on memory, inbox chasing or informal updates.
Define the moment responsibility changes
A handoff is more than sending a message or assigning a task. It is the point where one person can reasonably stop and another person can confidently begin.
Name that moment in simple language. It might be a customer request that is complete, a quote ready for review or a job that can be scheduled.
- Name the person responsible
Give the receiving team useful context
The next team should not need to reconstruct the history from emails, chat messages and separate files. Provide the information that explains what has been agreed, what remains open and what must happen next.
- The current status and required next action.
- The relevant customer, job or reference details.
- Any exception, deadline or promise that changes the work.
Create one way to signal completion
When people use several informal signals, handoffs become hard to trust. Agree on one visible status or event that shows the work is ready, then use it consistently across the normal path.
